Job Description
Mindset Consulting is looking for an Operations Administrator to serve as the operational and cultural heartbeat of our Minneapolis headquarters. The ideal candidate is highly organized, people-first, and thrives in a fast-paced environment. This person will handle a wide variety of responsibilities, from keeping the office running smoothly day-to-day to coordinating events, owning the onboarding experience, and supporting our marketing and executive team.
Responsibilities
- Manage daily office operations — Handle mail, groceries, cleanliness, procurement, scheduling, shipping and organization
- Coordinate Team events, AppHaus/client workshops, partner with Recruiting & Sales
- Own the contractor experience — onboarding to offboarding, send swag kits and laptops, provision suite access, manage asset tracking and various spreadsheets
- Manage employee recognition — birthdays, anniversaries, and milestones
- Serve as the first point of contact for employees and visitors, creating a welcoming and positive experience that reflects Mindset’s culture and values
- Champion the employee experience by anticipating needs, resolving day-to-day friction points, and ensuring the office environment feels supported and cared for
- Support the Marketing team with shipments, inventory, and ordering materials
- Assist Executive Team with various administrative tasks
- Perform occasional physical tasks including lifting boxes and offsite errands such as bank deposits and package drop-offs
Preferred Skills
- 2+ years of experience in office management, operations, or an administrative coordinator role
● Excellent organizational, time management, and communication skills
● Proactive and detail-oriented — comfortable juggling multiple priorities
● People-first mindset with a professional, welcoming presence
● Experience with GSuite, HRIS, Accounting systems, Slack, SurveyMonkey, Salesforce (SFDC), LinkedIn Sales Navigator, Dun & Bradstreet, or similar tools; familiarity with sales intelligence platforms such as 6sense a plus
